Information Security Rules
We have rules for handling information and using the network in three Okazaki institutes. Below are some of the rules and procedures, so be sure to read them over to the link.
In accordance with NINS (The National Institutes of Natural Sciences) Information Security Policy, Okazaki 3 institutions have also decided information security implementation procedures. You must comply with these information security rules when handling information within our institutions. Please refer to the following page for information security implementation procedures and other information.
When sending the same email to many recipients, if you put their email addresses all together in "To" or "CC" field, the recipients will know the addresses of other people. Please always be aware that there are people who do not want their email addresses to be known to others, and pay close attention to email broadcast communications (simultaneous transmission).
Although recipients cannot see the email addresses in "BCC" field, please avoid using it as much as possible so that you don't accidentally send the message via CC. The use of "BCC" is prohibited, especially when the recipients includes people outside our institutes who don't want other people to know their address. In fact, security incidents caused by human error in broadcast communications have occurred several times within three Okazaki institutes, so we ask for your understanding and cooperation.

In our Google Workspace environment, a script created by "GAS" can be used for secure broadcast communication. Please refer to it when you send notices of research meetings and other information to a large number of people outside of the institutes.
It is strictly prohibited to use your password for the official mail account as passwords for the various services of the institutes. It goes without saying that you should not use your official email address as a user ID for any external service, but even if it is any other user ID, please don't use it around!
To create your accout or to use your terminals connecting to our network, they have to be registered in ORION Authentication System. Please refer to the following page:

When using Windows, macOS or Linux, anti-virus software is required. We distribute anti-virus software "FortiEDR". Please refer to the following page for information of "FortiEDR".
Laptops and smartphones need to encrypt their internal HDDs, SSDs and other supplementary storage devices.

In three Okazaki institutes we offer many networking services. Please follow the instructions in the link below and learn more about each service.
We have introduced Google Workspace for Education to manage the member accounts and provide many Google applications. From December 1, 2020, two-step verification of your account will be required for stronger security. Please refer to the following websites for information on using Google Workspace.
